AI voice agents to answer calls and manage appointments

Voicebots that answer the phone, resolve common inquiries, manage appointments and send reminders, connected to your calendar and handing over to your team when needed.

The phone is still a key channel

In clinics, workshops, real estate agencies or professional services, many calls are about the same things: booking or changing an appointment, asking about opening hours or confirming a detail. When the team is busy or the call comes in after hours, the caller hangs up and sometimes never tries again.

An AI voice agent handles those calls in natural language, checks your calendar or your CRM, logs the request and passes anything that needs human attention to a person. Our customer service agents work as chatbots or as voicebots, and they integrate with the tools you already use.

The difference from a phone menu is that the customer doesn't have to adapt to the machine: they explain what they need in their own words and the agent takes care of the rest, within the limits you set.

Say it's an AI, starting with the greeting

Since 2 August 2026, the transparency obligations in Article 50 of the EU AI Act have applied, and they also cover voice assistants: callers must know they are talking to an AI, unless this is obvious. The simplest approach is to say so in the greeting and offer the option of speaking to a person.

    Frequently asked questions

    Your questions, answered

What is a voicebot or voice agent?

It's an AI assistant that talks on the phone in natural language. Unlike a phone menu, it understands the request, looks up the information it needs in your systems and responds or carries out the action, such as booking an appointment.

Can it manage the appointment calendar?

Yes, once it's connected to your calendar: it checks availability, books, changes or cancels appointments and sends automatic reminders. The specific integration depends on the scheduling tool you use.

What if the caller prefers to speak to someone?

The agent transfers the call to your team or logs the case so someone can call back. We define together in which situations it should do so.

Is it mandatory to disclose that it's an AI?

Yes. Since 2 August 2026, the transparency obligations in Article 50 of the EU AI Act have applied, including to voice assistants: the person must know they are talking to an AI, unless this is obvious. We recommend saying so in the greeting.

Can the voice agent and the chat share information?

Yes. They can work with the same information base and the same CRM, so every interaction is logged in one place, whether it comes in by phone or by chat.
