Education and high-risk systems in the EU AI Act
Annex III of the EU AI Act includes certain uses in education among high-risk systems: deciding on access or admission, evaluating learning outcomes, determining the level of education a person can access and monitoring students during tests. Following Regulation (EU) 2026/1744, the obligations for these systems apply from 2 December 2027. Automating administrative tasks is not on that list, although, since 2 August 2026, a conversational assistant must make clear that it is an AI.

Your questions, answered
Which research management processes can be automated?
For example, extracting data from invoices and receipts, consolidating expenses by project, reminders of deadlines for deliverables and justifications, or regular progress reports. Every organization has its own procedures, so we start by mapping the process with the management team.
Can you integrate with the university's systems?
We integrate agents and automations with CRM, ERP, email, Slack, Teams and other tools, and we develop custom integrations and APIs when needed. The scope depends on each system's access options, which we review at the start.
Is a student assistant a high-risk system?
An assistant that answers questions about procedures is not among the high-risk education uses in Annex III, which cover admission, evaluation of learning, assignment of the level of education and monitoring during tests. It must, however, make clear that it is an AI, a transparency obligation that has applied since 2 August 2026. Each specific case should be reviewed with the institution's legal team.
What about students' and researchers' personal data?
From the outset, we define what data the system uses, where it is processed and who can access it. Our consulting includes cybersecurity and regulatory compliance, covering both GDPR and Spain's National Security Framework (Esquema Nacional de Seguridad, ENS).
